The sender is referring to a November 2022 records request, initially marked as “Completed” by our team on June 06, 2023. It was re-reviewed and has been completed again, as of June 29:

Recently, we realized that the email conversion process we typically use to export .MBOX files to .PDFs should have yielded a total of 619 emails pulled off the flashdrive we received from the City of Northwest. We weren’t aware that there is a 100 file limit to the amount of files Apple Mail allows us to export as .PDFs at one time — This is why it initially appeared as though we’d only received 100 files when we first completed the request on June 06.

It has taken some time for us to further investigate the issue – but we were ultimately able to resolve it by exporting all the files in separate batches of 100 at a time, instead of a bulk export of all 619. On June 29 @ 4:58 PM we emailed Donna and the Mayor to let them know about this process, and asked them to pass along the info to their “IT Company”. We also added an additional Editor’s Note for the Sender to review on June 29 @ 4:45PM. Please review all communications about the request at the URL above.

Given the extraordinary amount of time spent on the request to this point, we do not have the capacity to reopen the request again, or to further follow up with Donna about it. It is very clear from our many experiences sending requests to the City over the past year, that their process for fulfilling requests needs a major overhaul. Fortunately, a recent update we received from Donna does seem to suggest that the City is now considering updates to their website in general, and how they process public records requests moving forward.

We generally try to follow up on requests once every 1 – 2 weeks as we’re able, until the government agency has confirmed that the request has been received and is being processed (and there is some timeline for completion), and we will wait to follow up again during the time period they specify.
